Oakland County Board of Commissioners implements new digital system for agendas, meeting resources

The Oakland County Board of Commissioners kicked off use of a new digital agenda and meeting management system at its full board meeting on September 2. The software, called CivicClerk, automates several aspects of the meetings, such as voting, updates to the agenda, the compilation of meeting minutes and internal item review processes. Macomb County and Wayne County have similar systems in place.

“This new system improves accountability, saves time, and increases transparency in county government,” Chairman David T. Woodward (D-Royal Oak) said. “The board is proud to lead the effort to implement the CivicClerk software that will be used across county departments.”

On September 2, commissioners voted unanimously to update the board rules to allow for electronic voting, which is a feature of the system. The system allows full compliance with the Michigan Open Meetings Act. In addition, the public can more easily view meeting outcomes, and updates to agendas can be done in real time, allowing for commissioners to respond quickly to emerging issues.

“It’s time that we bring county practices into the 21st century,” Minority Caucus Chair Michael Spisz (R-Oxford) said. “I’m looking forward to the quicker turnaround of topics and real time updates. This will take a large burden off our staff and the entire Board of Commissioners in preparing and holding of meetings.”

Through the automation of several functions, the new software lessens the county’s reliance on paper. Because it will be used across county departments, CivicClerk also encourages cross-training among employees.

All Board of Commissioners meeting resources can be accessed from the “Meeting Resources” page on the Board website. Users can click “View Current Meeting Resources” at the top of the page, which will direct them to the new portal. From there, they will be able to view a schedule of upcoming meetings, plus view or download relevant agendas and packets once they are available. Previous agendas and minutes can be accessed through the Open Oakland site linked at the bottom of the “Meeting Resources” page.
